The Kenya National Examination Council (KNEC) started implementing a policy in replacement of the Kenya National Examination Council (KNEC) Secondary Certificate, for the affected candidates who sat for the KNEC examination from the year 1981 on 2nd march 2009. Obtain affidavit and police abstract:

  1. In the case where the certificate is stolen or lost, the applicant should start by visiting a police station to report the loss/damage of the KCSE Certificate. Applicants are also to acquire a police abstract from the police authorities which is a prerequisite to making the application.
  2. Applicants are also to swear an affidavit of the circumstances surrounding the loss, theft, mutilation or damage which should be attached as an affidavit to the application.


Apply In-Person:

Step 1: Make payment for the application:

  1. The applicant is first required to deposit Ksh 5,800 to the KNEC account(KNEC bank slips) are obtainable at either of the following banks; Kenya Commercial Bank (KCB), Equity Bank, Co-operative Bank of Kenya or National Bank of Kenya.
  2. Upon making the payment is issued with a Bank slip, which should be attached as proof of payment while submitting the form.


Step 2: File the application

  1. Applicants are required to fill out the KNEC Secondary Certificate replacement forms, Forms are downloadable vis the KNEC Website or obtainable at the KNEC Archives and Records offices.
  2. Upon obtaining the forms, carefully complete the appropriate information under the relevant sections. Applicants should attest (sign) the forms once completed.
  3. Attach the supporting documentation as listed under the “Required Documents” section of this page, and send the completed dossier by post in a sealed envelope to the: Council Secretary/ Chief Executive, Kenya National Examination Council, P.O Box 73598- 00200, City Square, Nairobi, Kenya.


Step 3: Processing the Request and issue the certificate

  1. After a successful document evaluation phase which is usually within fifteen (15)working days, the certificate is drawn up and made available for withdrawal at the KNEC offices.
  2. When collecting the certificate, the applicant must present an authentic ID. Parents and guardians must accompany minors where birth certificates and original ID must be presented.
  3. To know your application's status, Applicants can log in to the KNEC Query Management Information System (QMIS).
  4. Replaced certificates must be collected within two years of application. Inability to do so will result in the document being disposed of without consultation.


Apply Online

Step 1: Register with the Query Management Information System (QMIS) for New Users:

  1. Open any browser (internet explorer, Mozilla etc) from a computer with internet and browse the The Query Management Information System (QMIS)
  2. On the QMIS portal, if the applicant already has an account, he/she should enter his/her username and password to log in or if the applicant does not have an account, he/she should click on the “Register” button to create a new account.
  3. Upon clicking on the “Register” button, the applicant will be directed to the account registration page, here, the applicant will be required to provide his/her Full name, Mobile Number, Postal Address, Title/Designation, and Email Address.
  4. Once all the required details are provided, the applicant should click on the “Register” button and the QMIS system will automatically create the applicant’s account and refer the applicant to his/her registered email address to obtain the QMIS logging-in credentials.
  5. Then the applicant should, open his/her email address, check the inbox and open the email from the “QUERY MANAGEMENT INFORMATION SYSTEM” and find the logging-in credentials i.e. User Name, and Password.


Step 2: File the application

  1. Once logged in to the portal click on the “Lost Certificate” on the dashboard, and the Certificate letter will be displayed.
  2. The applicant should enter, his/her Exams Index number and provide the rest of the required details (Exams, Year) and then click on the “Find” button, and the system will verify and provide the full name of the applicant in the “Name” box.
  3. Then the applicant should attach all the required documents in the attachments section. Note that the applicant can prepare all the required documents as mentioned in the “Required Documents” section below in a single file and attach the file by opening the “Required List” drop-box and selecting “Attachment if in one file” and clicking on the “choose file” button to upload the documents file and then click on the “Attach” button to attach the documents file.
  4. Once all the required documents are attached, click on the “Submit” button to send the application.


Step 3: Payment for the Certificate through Mobile Banking M-PESA

  1. Upon submission of the application, KNEC will verify the application and the documents submitted and then the system will generate and send a unique Pay-bill number and Account via SMS to the applicant indicating the total amount to be paid which is Ksh. 5800.00. Note that the fee is to be paid through M-Pesa.


Step 4: Processing of the request and issue of the Certificate

  1. Upon making the payment, KNEC will process the application which is within fifteen (15) working days and inform the applicant once the processing is completed and a duplicate certificate is availed for collection at the KNEC office. Note that applicant can check their application status through the QMIS.
  2. Once the certificate is availed for collection, the applicant should visit the KNEC office with his/her valid identification document or passport to collect the duplicate certificate in person.
  3. If the certificate is for a minor, one parent of the minor or an official guardian of the minor will accompany the minor with his/her original identification card and the original birth certificate of the minor.
