  • National Social Security Fund (NSSF) is a pension scheme to which every Kenyan with an income shall contribute a percentage of his/her gross earnings, so as to be guaranteed basic compensation in case of permanent disability, basic assistance to needy dependants in case of death and a monthly life pension upon retirement. Step 1: Create Excel File

  1. Compose a Microsoft Excel file with all the required columns as per the NSSF file format template.
    • Notice the new format has no NSSF contribution amounts but will instead work with employees’ Gross Salaries. This file also contains NSSF Membership Number, KRA PIN, and any voluntary amounts.
  2. To make manual (offline) returns, there is no need to go to step 2 (below). Simply select NSSF Reports (Old format) Payroll application and take to the nearest NSSF office (branch) along with the payment.


Step 2: Log in to NSSF Self Service

  1. Browse to NSSF Self Service Login also known as SF24 Management and enter the NSSF username and password.
  2. New users who do not have their login credentials, should complete the Online self-service registration form Print the application notification and contact the nearest NSSF office for certification and obtain the login credential.


Step 3: Create a Payroll Period

  1. Once logged in, select the “Payroll Converter” option on the left-hand menu
  2. On the payroll period section, click on “Create Payroll Period” and enter the payroll month, payroll type, and contribution type.


Step 4: Payroll Submission

  1. After step 3, you will now have a new item on your list of “Payroll Submissions”, Locate the latest submission with the status “OPENED PERIOD” and click on the “File Upload” link
  2. Then “Choose” the Microsoft Excel file created in step 1 from your local machine and click on “Upload” to submit it to the NSSF server.


Step 5: Process Payroll Data

  1. Once the file is successfully uploaded, click the “Back” button to return to the “Payroll Submissions” section.
  2. Click on the “Process Payroll Data” link to initiate payroll data processing by the NSSF server. It will use employees’ gross salaries to determine NSSF contributions due by both employee and employer. It will then produce a file dabbed “SF24”.
  3. The latest submission should be updated with a new set of links. Click on the link that reads “Show produced errors” to determine if there are any errors that NSSF has detected. In case of an error(s), return to the excel sheet and correct this accordingly. Delete the payroll period and create a new one. Click on “Upload Produced SF24” in case of no error(s).


Step 6: SF24 Submission

  1. On the left-hand side menu, click “SF24 Actions”, the latest SF24 submission should be first on the list of submissions with the status “Submission Check” click on this link. Once the submission is complete, click on the new link that appears “Submission check progress updates”. This will help you get notified when the submission of the SF24 is finalized.


Step 7: Payment Order

  1. Proceed and make the payment order by selecting “Payment Order” on the left-hand menu. Enter a payment description, e.g. January 2023’. Enter a payment mode of your choice. Enter the bank which you’ll be using to make payment (PS: This is not your organization’s bank but rather NSSF bank accounts to which you’ll pay the monies due. There is a choice of either National Bank or Kenya Commercial Bank).
  2. Next, drag any unpaid SF24s from the “Unpaid” section to the “Selected SF24s for Payment” section. A final total of amounts due will display at the bottom of the forms.
  3. Click the “Save” icon located on the horizontal bar, at the top of the forms. The NSSF server will produce a Unique Payment Number (UPN) which will be used as the payment reference.
  4. No fees are associated with this service and the time frame for processing the request/application is within a few minutes.
