Botswana - Renewal of Registration and Accreditation as Assessor and Moderator

Apply In Person
- An assessor or moderator may within six months before his/her registration and accreditation expires, apply for renewal of registration and accreditation to the Botswana Qualifications Authority (BQA), whose mandate is to maintain a national credit and qualifications framework (NCQF) and to coordinate a quality assurance system for education, training, and skills development. - Applicants are required to collect and complete the Application for Renewal of Registration and Accreditation as Assessor or Moderator (FORM C) and BQA Assessors and Moderators Accreditation Checklist, obtainable at the Botswana Qualifications Authority (BQA) office, receptionist desk or download it via the BQA website, BQA Document Library
- The duly completed application form attached to the supporting documentation as mentioned under the “Required Documents” section of this page should be submitted to the BQA office. Any omission of the required documents or information will render the registration process incomplete.
- Upon submission of an application form, the applicant will be issued a Pro-forma invoice which will guide the applicant on the fees required hence the applicant should not proceed to pay before receiving a Pro-forma invoice
- The application will only be registered to be processed when payment has been made, the applicant will be issued with a BQA payment slip and an acknowledgment slip that proves submission of the application file and for inquiry referencing if the need arises.
- The BQA will evaluate the application to satisfy itself that the applicant has continued meeting the requirements for registration and accreditation.
- The BQA may request additional information relevant to the application. In such a case, the information must be submitted within 21 working days from the date of notification. Where the applicant fails to submit the required information, the Authority shall reject the application.
- Notice of the decision (Approval, Deferral, or Rejection) for the application will be communicated to the client in writing or by email.
- Where the Authority is satisfied that an applicant has continued to meet the requirements set out in this criteria, it shall direct the BQA registrar to renew the registration and accreditation of that person for a defined scope of assessment or moderation services and draw up a certificate of registration and accreditation to be issued to the client, upon presenting their identity document, approval letter, and acknowledge slip to be validated by the BQA registrar's office or a printout will be mailed to the client.
- Where the Authority is not satisfied, it shall reject the application and notify the applicant in writing, stating the reasons for the rejection.

- Applicants can also submit their application for renewal of the Registration and Accreditation as Assessors and Moderators via the Botswana Qualifications Authority (BQA) website, BQA Online Submission
- First, download the following documents via the BQA website (links below), the Application form for renewal of Registration and Accreditation as Assessors and Moderators and fill it accurately, prepare all the supporting as per BQA Assessors and Moderators Accreditation Checklist, All Documents' format types should be in pdf, the maximum file size for each document upload is 30MB and should be labeled correctly for identification. For Example ID_ Name BQA Document Library.
- If you already have an account, log in to access the service, if you do not have an account click on the “Register” option. Fill out all the fields in the registration form then click on the “Register” button.
- Upon successful registering, a registration confirmation request mail will be sent to the specified registered e-mail address, click on the user verification & activation link, you will be redirected to the login page, enter your user name and password then click on the “Login” tab.
- The application forms page will be displayed, click on the “Individual Form” option, a list of application forms will be displayed, select and click on “Application for Renewal of Registration and Accreditation as Assessor or Moderator”.
- The online application submission page will be displayed, read the instruction part carefully, fill out all mandatory fields in each section before click on the “Next” button.
- Attach all supporting documents as listed on the site, then click on the “Next” button.
- The Completion page of the application will be displayed, select the service category you are applying for. If the wrong service is selected, your application will not be processed. If you agree to the Terms & Condition then click on the “I Accept” button, then click on the “Submit” tab.
- The payment page will be displayed, make the necessary payment to complete the application process. Please do not forget to log out of your account.
- You will then receive an acknowledgment mail, notifying you that your application has been received for processing and consideration and for inquiry referencing if the need arises.
- The BQA will evaluate the application to satisfy itself that the applicant meets the requirements for registration and accreditation.

Appeal to the Botswana Qualifications Authority (BQA).
- A person aggrieved by a decision of the Authority may appeal in accordance with the Authority’s appeals procedure within 21 working days of learning of the decision.

- Completed renew registration and accreditation application form accompanied by a prescribed non-refundable fee as set out in the BQA (Fees) Regulations, 2016.
- Copy of current CV relevant to the application.
- Evidence of membership of a professional association (if applicable)
- Certified copy of National Identity (Omang) for citizens or passport for noncitizens.
- Security clearance report.
- Recent colour passport size photo
- Certified copies of certificates and transcripts showing evidence of attainment and attestation from referees/employers on competencies for services to be provided.
- Evidence of attainment following assessment against recognized assessor or moderator standards. These could be standards registered on other national qualifications frameworks.
- If you have changed names, copies of documentation to support the change will be required. For Example affidavits.

Expansion of scope for registration and accreditation.
- A registered and accredited assessor or moderator may apply for expansion of the scope of assessor or moderator services.
- Expansion of scope shall be applied for on the relevant form and accompanied by a prescribed non-refundable fee.

Need for the DocumentEdit
Registration and accreditation of assessors and moderators by the Botswana Qualifications Authority (BQA) aims to:
- Ensure consistency in assessment and moderation of all National Credit and Qualifications Framework (NCQF) registered part qualifications and qualifications/learning program;
- Ensure that any person who assesses or moderates learner competence across all fields of learning at all levels of the NCQF meets a constant set of criteria established by BQA.
- Hence assessor or moderator registered with the BQA is required to renew their registration certificate to keep enjoying the incentives that come withhold a valid registration certificate.
