Procedure

Get a copy of your police records

Contact your local police for a copy of the records they hold about you.

Under the Data Protection Act you have the right to ask your local police for a copy of the records they hold about you. This is called a subject access request.

You may need to show a copy of your records to the local police if you move to another country.

Your local police will tell you how to apply.

You may have to pay a fee. This cant be more than 10 for checks in England, Wales and Northern Ireland. Police certificates for visa applications

Contact the Association of Chief Police Officers (ACPO) if you need a police certificate for a visa for Australia, Belgium, Canada, New Zealand, South Africa or the United States of America.

The fee is 45 to get the certificate within 10 working days and 80 for a 2 day premium service. Personal record requests from other organizations

Required Documents

To process your application, the following documentation is required:

  • Fully completed application form. Ensure all sections are completed in BLOCK CAPITALS and in black ink, original signatures are required throughout. Scanned or facsimile signatures will not be accepted.
  • TWO copies of different documents to prove your current address. Official correspondence showing your name and address both dated within the last 6 months. These cannot be hand written and envelopes will not be accepted as sufficient evidence. If these are not in English you will also need to provide a translation which may be hand written.
  • Copy of your passport. Clearly showing passport photo, personal information including expiry date, nationality, machine readable zone, extension pages if applicable and signature.
  • ONE recent colour passport style photograph (Approximately 45mm x 35mm). This should be appropriately endorsed on the back (See page 7).
  • Payment. UK Cheque, UK Postal Order, Bankers Draft, or Bank Transfer made payable to PCC for Hampshire.
  • Do not send original documents as these will not be returned.

Anyone who has lived in the UK for any length of time, regardless of nationality.

If you live inside or outside the United Kingdom, you must apply through the Criminal Records Office of the Association of Chief Police Officers (ACPO).

Validity

There is no set period of time for which the Police Certificate is considered to be valid. The Police Certificate is only truly accurate on the date of issue. Embassies or High Commissions will usually require you to produce a Police Certificate which has been issued less than six (6) months before your visa interview.

Immigrant visa applicants who have resided in the United Kingdom for six months or more since the age of sixteen are required to obtain a statement from the National Identification Service, Subject Access Office, Room 331, New Scotland Yard, Broadway, London SW1 OBG.

This statement will serve to advise the consular office whether or not any criminal conviction is held against the applicant. The National Identification Service does not accept applications from individual applicants; the request must be made through local police. By law, it can take up to 40 days to receive a response.

Persons resident outside the United Kingdom should write to the Data Processing Officer of the police authority where they last resided in the United Kingdom to obtain the appropriate application form. Residents of the United Kingdom should apply to their local police station where they may obtain the application form. When completing the application form, the applicable category is Prosecution/Conviction History. The local police (or data protection officer), will submit the application to the National Identification Service and the response to the application will be sent directly to the applicant.

Applicants are legally entitled to gain access to the information about themselves under Section 21 of the British Data Protection Act, 1984.



Required Information

The application must contain data:

  • name of the person, in case of change of name and surname and the original name or the original name or nickname if it is held,
  • date of birth,
  • identification number,
  • place and district of birth,
  • State of Birth
  • permanent address,
  • the alien's country of birth and,
  • citizenship,
  • sex,
  • name and surname of father
  • name and maiden name of mother.

Need for the Document

A Police Clearance Certificate states that you don't have any criminal offences related to the period mentioned in your certificate.
