Botswana - Replace Damaged or Torn Passport

ProcedureEdit

Apply In Person:
In case someone has lost/burnt/stolen/misplaced his or her Passport, he or she shall approach the Regional and District Department of Immigration and Citizenship offices for replacement. Ministry of Nationality, Immigration, and Gender Affairs Contact Details

Step 1: Obtain affidavit and police abstract/report

  1. The holder of the passportshould start by visiting a police station to report the loss/damage/ stolen. Applicants are also to acquire police abstract from the police authorities which is a prerequisite to making the application. Botswana police service Contact Details
  2. Applicants are also to swear an affidavit of the circumstances surrounding the loss, theft, mutilation or damage. The affidavit should be attached to the application.


Step 2: Make the application for replacement.

  1. Where the application is filed in Botswana applicant should proceed to the nearest Regional and District Department of Immigration and Citizenship office and express their interest to the immigration officer; submit the relevant supporting documents as listed under “ Required Documents” section below to be validated.
  2. For abroad application the complete dosier should be submitted to the nearest Botswana mission abroad.
  3. In the case of parent(s) or guardian(s) applying for an replacement of an e-passport for persons aged 16 years or younger, bring the child to the office when applying.
  4. If all the necessary documents have been provided, you will be issued with "Application form for Replacement of the Passport" to fill and submit the completed form attached to the supporting document to the registrar to verify if all the necessary information required have been provided.
    Note: Passport application forms are issued during the application process because these are security documents.
  5. Applicant will be required to make payment for lost and stolen passport. Please refer to the “Fees” section of this page for more information.
  6. After that, the form goes through the following stages: Fingerprints section- The applicant’s fingerprints impressions are taken; Attachment of the passport photos.
  7. The applicant will then be issued with a waiting card/slip as an acknowledgment by the registrar. You will use the waiting card/slip to collect the passport.


Step 3: Processing and Issue of the passport

  1. The application form is then forwarded to a centralized production center in Botswana for processing.
  2. After a successful processing process the Passport is returned to the Department of Immigration and Citizenship offices/ consulate or embassy where the applications were filed and made available to be collected by the applicant against the waiting card/slip and identity card.


Please Note

  • For abroad application, applicants who want their processed e-passport sent to them by post are advised to attach one of the following to their request(s):
    • A registered self-addressed envelope with the appropriate stamps (letter recommendée);
    • A pre-paid envelope from any recognized courier service provider.
  • Not all embassies offer the post/mail return service (please consult with the embassy)
  • Applicants can also file the application via mail; in some embassies, please confirm with your embassy, if they offer this service since not all embassies offer the service.

For persons aged sixteen (16) years and above:

  • Accurately filled application form
  • Original and one (1) certified copy of a National Identity card (Omang)
  • photocopy of the passport if available
  • Mutilated or damage passport should be surrender to the Authority
  • police report or affidavit before the commissioner of oath.


For children under sixteen (16) years of age:

  • Accurately filled application form
  • Original and one (1) certified copy of the birth certificate. For children under sixteen (16) years of age.
  • Original Omang Card of parent(s)/ Guardian’s original Omang Card (in case of deceased or missing parents).
  • photocopy of the passport if available
  • Mutilated or damage passport should be surrender to the Authority
  • police report or affidavit before the commissioner of oath.


Note: The Immigration office or the embassy/high commission office reserve the right to request additional supporting documentation.

FeesEdit

  • Normal Service Fees:
  • Children under sixteen (16) years and below – BWP 1000.00 in addition to the Passport application fee of BWP100.00.
  • Adults- BWP1000.00 in addition to the Passport fee of BWP260.00.
  • For express service please consult with the Authority.



ValidityEdit

  • The e-passports for individuals who are 16 years and older are valid for 10 years and 5 years if they are under 16 years.

The time around processing for the application is
Normal services processing time

  • The passport takes five (5) working days to process (if applied outside Gaborone).
  • The passport takes three (3) days (if applied within Gaborone).
  • The passport will take 10 days if applied abroad.


Express services processing time;

  • Express service passport takes 48 hours to process.
  • Special service passport takes 24 hours to process.
